COLBURNE HOLDINGS LTD is the controller for the activities described in this policy. We have not appointed a Data Protection Officer.
What this policy covers
This policy explains what we collect, why we collect it, how we use it, who we share it with, how long we keep it, and the choices you have. It applies to our website, early-access sign-ups, marketing, customer support, and to the Finnly app and related services.
The data we collect
Information you give us
- Account details. Name, email, password.
- Optional details. Mobile number, role, business name, service area or location.
- Content you share. Feedback, survey responses, support messages, feature tests.
- In the app. Client contact details you enter, addresses for pick-ups, booking notes, dog names, emergency and vet contacts, photos you upload, invoices and payment references.
Information we collect automatically
- Usage data. Pages viewed, features used, time and date of activity.
- Device data. IP address, device type, operating system, app and browser version.
- Approximate location if you allow it in your device or browser settings.
Information from others
- Invites. If someone invites you to Finnly we receive your name and email from them.
- Connected services. If you connect third-party tools, we receive data you authorise.
Special category data
We do not seek special category data. Please avoid entering it in free-text fields.
How we use your data and our lawful bases
- Create and manage your account. Contract or legitimate interests.
- Provide the app and website, including security and performance. Legitimate interests.
- Send service messages, such as resets or important changes. Contract or legitimate interests.
- Process payments and keep records. Contract and legal obligations.
- Product research, feedback requests, and feature testing. Legitimate interests or consent where required.
- Marketing about Finnly to individuals. Consent, or soft opt-in for our existing customers where applicable. You can opt out at any time.
- Legal, tax and compliance. Legal obligations.
Where we rely on legitimate interests, we do so only where our interests are not overridden by your rights.
Direct marketing
We send marketing emails or texts to individuals only with your consent, or under the soft opt-in where it applies. Corporate subscribers may receive emails about Finnly. Every message includes an unsubscribe link. You can also email privacy@finnly.co.uk to opt out.
International transfers
Some providers store or access data outside the UK. When we make restricted transfers, we use lawful safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or we rely on an adequacy decision. You can ask us for details.
How long we keep data
We keep data only as long as needed for the purpose it was collected.
- Account data. For the life of your account, then up to 12 months for logs and backups.
- Marketing contacts. Until you unsubscribe, or after 24 months of no engagement.
- Support messages and research notes. Up to 24 months.
- Financial records. Six years to meet tax and accounting duties.
We may keep data longer if the law requires it or to resolve disputes.
Security
We use appropriate technical and organisational measures to protect personal data. Access is limited to people who need it to do their job.
Your rights
You have rights over your personal data, including the right to be informed, access, rectification, erasure, restriction, portability, and objection. You can withdraw consent at any time. This does not affect past processing carried out with your consent.
To exercise any right, email privacy@finnly.co.uk. We will respond within one month.
We do not make decisions based solely on automated processing that have legal or similarly significant effects.
When you use Finnly for your clients
If you use Finnly to store your own clients’ details, you are the controller for that data. We process it on your instructions. Our data processing terms set out our duties, security, sub-processors and transfer safeguards. We will make those terms available before you start using the app for client data.
Children
Finnly is not intended for children under 16. We do not knowingly collect data from children.
Complaints
If you have concerns, email privacy@finnly.co.uk and we will help. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
We will post any changes here and update the date at the top. If the changes are significant, we will notify you by email or in the app.
